Reporting and data

Data from several systems in one report

We bring together data from your CRM, warehouse system, accounting and spreadsheets. The daily and monthly report is produced without anyone assembling it by hand. Instead of reading through a summary in search of a problem, you get a notification once an agreed threshold is crossed.

Free consultation

We can start with a single report, or put your data in order before an AI search project.

  • 01

    A single source of truth

Metric definitions and the place they are calculated are agreed once. Every later report works from the same basis.

  • 02

    No manual assembly

The daily and monthly summary is produced at a set time and sent to the people who need it.

  • 03

    Alert on a threshold

Crossing a threshold triggers a notification. You do not have to open the report to notice a problem.

01Use cases

What we bring together

The starting point is a decision you make regularly, and the data that decision requires.

  • Sales

    The pipeline set against invoices

CRM data combined with the documents issued. You can see which enquiries end in a sale.

  • Warehouse

    Stock levels and turnover

Stock levels set against orders show the lines that are sitting still and those at risk of running out.

  • Finance

    Profitability by customer and project

Accounting data combined with sales data shows where the company earns and where it is out of pocket.

  • Operations

    Deadlines and team workload

Jobs, tasks and hours worked in one view. You can see the stage at which a backlog builds up.

  • Alerts

A notification once a threshold is crossed

A drop in margin, a late payment or low stock triggers a message to the person responsible.

  • Data for AI

Data put in order before an AI project

Consistent naming, gaps filled in and clear field definitions. AI search answers on the basis of what it finds.

02Mechanism

How a report is built

A report follows from agreed definitions, not from whichever columns happened to be at hand.

  1. 01

    Metric definitions

We agree what exactly sales, margin or lead time mean. One definition then applies across every summary.

  2. 02

    Connecting the sources

We pull data from the CRM, the warehouse system, accounting and spreadsheets. Records for the same customer are joined on an agreed key.

  3. 03

    Data quality checks

We look for duplicates, gaps and mismatched formats. A record that cannot be assigned goes on a list to be corrected.

  4. 04

    Delivery and thresholds

The report reaches the named recipients at a set time. Crossing a threshold triggers a separate notification.

03Scope

Scope of implementation

The scope depends on the number of sources, the quality of the data, and how many reports there are and who receives them.

On our side

  • an inventory of the data sources and an assessment of their quality
  • agreement on the metric definitions with your team
  • rules for joining, cleaning and checking records
  • the reports, the delivery schedule and the alert thresholds
  • documentation of the definitions and handover of the solution

What we need from you

  • someone who settles the metric definitions
  • access to the systems and spreadsheets that hold the data
  • the reports assembled by hand today, so the results can be compared
  • the recipients of the report and the people who receive the alerts
04Stages

From spreadsheet to standing report

  1. Stage 1

    Source review

We check where the data sits, what condition it is in and who fills it in today.

  2. Stage 2

    Agreeing definitions

We write down how each metric is calculated and which source its data comes from.

  3. Stage 3

    Build and verification

We assemble the report and compare the result with the summary prepared by hand until now.

  4. Stage 4

    Launch

We turn on the schedule, set the alert thresholds and hand over the documented definitions.

05Questions

Common questions

Answers on changing systems, on differences between sources, on working spreadsheets and on preparing data for AI.

No. We take data from the programs you already use. A change becomes necessary only where a system offers no way at all of getting data out.

Discuss your reporting

In the first conversation you describe the decisions you lack figures for, and the places that data sits today. Afterwards we set out what to check before the scope can be defined.

  1. 01

    Decision

You describe a decision you lack the figures for at the moment you need them.

  2. 02

    Data sources

We establish which systems and spreadsheets the information comes from.

  3. 03

    Further assessment

We set out what has to be verified in the data before the scope of work can be defined.
